As the Executive Assistant you will be primarily responsible for providing high level administrative support to the Director and Deputy Director. Co-ordinating diaries, scheduling meetings, preparing and amending presentations and lectures. As well as providing service to the Board of Management and Management Group (meeting preparation, minute taking, co-ordinating activities and follow up). Executive Assistant duties include; Diary management Travel and meeting co-ordination Drafting of correspondence and reports Preparation of PowerPoint slides for conference presentations and lectures Telephone and email screening Preparation of internal and external meeting papers and general administrative duties
You will have; Demonstrated and high level experience and advanced knowledge in Microsoft Word, Excel, Outlook and PowerPoint. Proven ability to work both independently and as part of a team, with strong interpersonal and communication skills, including the ability to prepare draft documents. Excellent organisational and time management skills, as well as a demonstrable high level of initiative.
A working knowledge of other computer programs (e.g. Microsoft Access, Visio, Microsoft Project, SPSS or Endnote) as well as experience in working in the human resources &/or the health field and an understanding of management information systems and the importance of procedures and processes is desirable. A minimum of five years??" experience in a corporate or non-profit environment working in a similar Executive Assistant type role is essential.
